Lancer Parent Organization General Meeting

June 18, 2024

Call to Order: 6:30 p.m.

Location: Sara Robeson’s Home

May 6, 2024 Minutes Approval. Tracy Montgomery motioned. Beth Nelson seconded. The motion carried.

June 18, 2024 Consent Agenda Approval. Aleta Harris motioned. Jen Adams seconded. The motion carried.               

 

Principal’s Report, Dr. Calcaterra:

●       2023-2024 was a good year.  The graduation ceremonies went well.

●       Thank you for the nice luncheon at the end of the year.

●       Retirees were celebrated.

●       A new gym floor is being installed.

●       Seniors will lose access to their email/google accounts on 6/30/24.

●       Senior week for the Class of 2025 will take place in April.

●       Graduation for the Class of 2025 will be Monday, May 12th at 7pm.

●       Prom will be Saturday May 10th.

 

President, Sara Robeson:

·         We have so many successes to celebrate this year!  All 3 class fundraisers were incredible successes and laid groundwork for future classes. Taste of West County was brought back this year thanks to the junior class and directors. The senior class had a wonderful year of events & activities- including some changes that reflected a more inclusive senior week.  

·         Our community events were well organized and attended. Parents have had an opportunity to connect through Lancer Landing, community events & programming. Our hospitality committee did a great job of encouraging and recognizing our staff throughout the year. Social media and communications have kept people up to date on what is happening & we have continued to try to meet the needs of parents by meeting them where they are with adjustments to the newsletters and social media.   

·         Despite some volunteer issues, Lancer Landing ran throughout the year & met  income goals. Spiritwear has exceeded its income goal & come up with new items that continue to excite interest.  

·         LPO has updated its reporting on square, record keeping & accounting measures to better reflect current best practices.  Our minutes and agendas have continued to be timely & transparent.  

·         Thank you for your amazing dedication to the LHS community and for all your hard work throughout this year. Your commitment, time and heart, make our LPO & community a better place. 

·         Financial Discussion—23-24 looking to be at 87% of budgeted expenses and 102% of budgeted income. 53% of budgeted grants money were spent. Discussed possibility of limiting how often a teacher may apply for a grant since some submit requests annually and others do not submit requests. The only item that went over budget was ads for StuPub for an overage of $75.

 

 

Treasurer, Mark Masterson:

●       Last year’s tax return was finalized. The accountant fee was $250 when dealing with less than $200,000, but the fee raises to $1500 for greater than $200,000

●       MTK will be holding upcoming seminars on finances.

●       Plan to meet with First Community Credit Union this week.

●       Monthly Financial Report was discussed.

●       The LPO has budgeted $127,550 in income for 24-25. A carryover of 10-15% ($12,755-$19,132.50 is recommended).

●       Approximately $13,749 should be spent. Discussed possibility of podiums, which are approximately $3500. (Class of 2024 anticipates approximately $2200 leftover that can be utilized for gift to school).

●       Options discussed include 1) grant rollover to fall, 2) capital expense fund for Lancers Landing fridge etc, 3) capital improvement fund for LHS, 4) outdoor lighting improvements, 5) theater sound system improvements (anticipated $50-70k), 6) new scoreboard for stadium. The board should provide recommendations this evening and present for general membership approval in the Fall at the general meeting.

●       Lancers Landing improvements were discussed. There is leftover fauxwood vinyl flooring from a previous project that can be used to replace flooring in the front and back room of the store (not enough for the storage room). RSD facilities can remove the desk. Need to use a professional to install the flooring on top of the existing tile.

●       Giovanna Lear motioned to set aside 3K for a fridge including a service plan for Lancers Landing and an additional 2k for Lancers Landing improvements. The remainder of the funds to be earmarked in a Capital Improvements Fund for LHS.  Mark Masterson seconded the motion. The motion carried.

 

Class of 2024, Tracy Montgomery & Beth Nelson:

●       Tracy offered to do the badges/check in process for the Class of 2025 Senior Celebration

●       The line to sign in with AmpUp was long—recommend they have additional staff working this area.

●       10 additional raffle tickets were given to students whose parents volunteered for the Senior Celebration event. The pulling of the raffle tickets were done with complete transparency.

●       Good feedback was received from the event. Fewer big ticket items seemed to go over well.

●       Note to Class of 2026—Reserve Amp Up or somewhere else early since both Lafayette and Eureka have used Amp Up in recent years, but both schools will be graduating on the same date in 2026.

 

Class of 2025, Dawn Werk:

●       Amp Up is in the process of being booked for Senior Celebration—need to submit deposit.

●       Potential dates for the Senior Memory Maker Events have been selected, but will check with school officials for any potential conflicts. Looking at splitting the events with 2 held in November and 2 held in March.

●       Questioned whether we are locked into using InterState for these events. There were concerns with the quality this year with the on-site printing not being the best quality. Re-prints were better quality, but some of the re-prints never made it to the student/family. Need to review current contract arranged by Nancy Smith to see if LPO events may be separated out.

 

Class of 2026, Shalini Arya:

●       Need another Class Director.

●       Trivia Night this year was good. Given the popularity of the event with students attending, may need to make some of the questions more teen-friendly for next year. In the 8 weeks leading up to the event, they did Friday trivia during lunchtimes to raise interest in the event.

 

Class of 2027, Jen Adams:

●       Need another Class Director.

 

Lancers Landing, Shalini Arya:

●       The store can operate with one manager and one volunteer if needed.

●       Considering creating the sign-up genius for the entire school year.

●       Due to Federal Guidelines, some of the items sold in the store will need to be changed.

 

Staff Appreciation:

·         Consider making the End of Year Luncheon a bigger celebration

·         The raffle was fun
