7:30pm General Meeting Minutes

Attendees: Jennifer Adams, Amy Buckley, Karen Calcaterra, Jen Champlin, April Ladner, Giovanna Lear, Stacy Nagel, Elizabeth Nolan, Monika Sud, Deanna Vardeman, Nicole Vandesteeg, Dawn Werk.

 Welcome/Call to Order, Giovanna Lear The meeting was called to order at 7:44 pm.

 Secretary, Amy Buckley

● December 9, 2024 Minutes Approval. Jenny Champlin motioned. Dawn Werk seconded. The motion carried.

 

Principal, Dr. Karen Calcaterra 

●     Positive feedback has been received regarding the first semester concluding prior to Winter Break. 

●     Graduation planning is underway.

●     The musical “Once Upon A Mattress” will be performed February 6-8, 2025. Feeder middle school students are invit to attend dress rehearsal performances. 

●     The parking lot overhaul will take place in the summer replacing the existing asphalt with concrete (exception being the lower lot which was replaced more recently). The work will begin with Stadium Drive over Spring Break, weathe permitting. Summer school will not be held at Lafayette this year and some sports practices and camps may need to be altered.

●     Curriculum Night was rescheduled due to weather and held tonight with a meeting from 6-6:30pm in the theater a from 6:30-7:30 to meet with curriculum areas, athletics and activities. We had a great turnout tonight. 

●     Special Olympics planning is underway.

 

President, Giovanna Lear  

●     School store shift managers needed - a new sign up is out to secure additional school store managers to allow the store to open on Monday/Tuesday/Wednesday mornings.

●     Store gift cards are now available for purchase online and in-person, $2.00 activation fee automatically added. Offering shipping for gift cards only

●     Discussed communication channels to reach students regarding Pretzel Days, Fun Food Fridays etc. Can provide a google slide to Amy Danner to display on the video boards, can have students include during lunch announcements and supply to Maddie Cox for The Lancer Feed

●     Will be offering another round of spirit wear discounts to staff spring semester

●     Presidents’ Forum meeting - cancelled last week due to weather-has not been rescheduled 

●     Standing Rules update - still working

●     April 14, 2025 meeting - "What to Expect When You Get On Campus-geared toward Juniors/Seniors regarding college campus readiness being organized by Mr. Small.

●     School grant process begins January

●     NAMI Speaker rescheduled for February 10th meeting

●     ROSE Award nominations due Friday, January 24. The ROSE, which stands for Rockwood Outstanding Service in Education, is awarded to 15 individuals each year who show excellence of character, performance, leadership and service to the district. These recipients may be teachers, administrators, support staff members, parent volunteers or community members.

 

Treasurer, Deanna Vardeman             

●     Financial Reports were distributed and discussed

●     All accounts have been closed at First Bank and transferred to First Community Credit Union. All Class Treasurers have checkbook, debit card and access to the monthly bank statements for their class checking accounts.

●     Reminder to Class Directors/Treasurers that reimbursement requests should be processed through

Membership Toolkit and include an itemized receipt. Any vendors paid more than $600 should complete a W9 before the reimbursement is processed.

●     Funds remain in the School Improvement Fund from the Class of 2024 Rollover. Discussed purchase of podiums. Elizabeth Nolan will share vendor information she is aware of from related work experience.

 

VP Communications, Aleta Harris (presented by Giovanna Lear)

●     Please send content to Aleta by Fridays for inclusion in Monday newsletters. 

●     Working to use ParentSquare volunteer sign up feature, but finding it is not as user friendly as other sign up tools

 

VP School Community, April Ladner

● Volunteer Needs:

○     Co-VP of Communications

○ Community Event Chairs: April and Aaron Ladner will chair the Volleyball Challenge. A chair is needed for Specia Olympics. April will begin working on the Special Olympics signup soon.  ○ Social Media Chair

○ School Store Operations Manager, Volunteer Manager, Morning Shift Managers, Tuesday Lunch Shift Manager

●     Nominating Committee                                                                                                           

○ Work begins now to develop the 2025-2026 Slate of Officers. Email April regarding your intentions for next year.

 

●     Staff Appreciation : Special Recognition, Nicole Vandesteeg 

○     Welcome back coffee/hot cocoa bar with pastries and fruit to be held Friday, January 17th. Set up will take place by 7:15am.

 

●     Staff Appreciation : Staff Dinners, Colleen Poling Thursday, February 27, 2025 3:15pm

End-of-Year Luncheon: May 23, 2025 10:30am

 

VP School Support, Monika Sud 

●     Lancer Direct Donation Campaign       

○     Corporate Matching email to those who had donated. 

             

●     Lancer’s Landing

Inventory, Chelsea Watson

○     Pretzel Days: 1/29, 2/26, 3/12, 4/2 & 5/7

○ Item of the Month-Gushers

○ The next Fun Food Friday will be 1/24

 

Operations, (Open Position)

○ Lancers Landing is offering gift cards for purchase

○ Need additional morning shift managers-Mon/Tues/Wed

○ The Spring Semester Volunteer sign up is open and has seen a good response

 

●     School Grants, Dawn Hagen 

○ Committee work is ready to get underway

 

●     Spirit Wear, Jenny Shaw & Angela Sublette

○     New items were added to the inventory online and in store                                                                           

○ In person sales were open tonight at Curriculum Night

 

Class Updates

Class of 2025 Director’s Report, Tara Ference/Dawn Werk

●     The last meeting was held 12/3/24. Chairpersons have been identified for all Spring events. Will begin advertising Spring events. 

●     The AmpUp contract needs signed

●     The team will be meeting tomorrow regarding the budget ● Blink of An Eye photos have been coming in.

●     Plans are underway for Senior Week including Decision Day, Donut Day, Thirsty Thursday, Chick Fil A (will be covered for all seniors) and Cardinals Game (awaiting word from Cardinals-will likely be 4/2 or 4/16)

●     Baccalaureate will be held on May 8th at Pathfinder Church

●     Next Meeting: 1/14/25 at 6:30 pm in Room 180

●     Saturday, March 1, 2025 11:00am - 2:00pm Mother/Daughter BINGO at Forest Hills CC

●     Saturday, March 1, 2025 6:00pm - 9:00pm Father/Son Game Night at Forest Hills CC

●     Monday, May 12, 2025 - Senior Celebration at Amped Up ○ Costs are similar to last year. 

○     Tickets are on sale for $65 through 3/1. The price will raise to $75 after 3/1. Tickets purchased at the door will be $90. 

 

Class of 2026 Director, Elizabeth Nolan/OPEN

●     Last week’s meeting was canceled due to weather and the new date is TBD.

●     Monday, February 24, 2025 5:30 pm Taste of West County ○ 27 restaurants have been contacted. 4 have confirmed. 

 

Class of 2027 Director, Jen Adams/Jenny Archambeault ● Meeting recap from 12/10/24.

○     The couple that helped with trivia in the past is willing to help again. Most committees have chairs. 

●     Next Meeting - January 14th

●     Milk & Honey 9/19 event earned $93 for the class due to the 30%giveback on purchases. ○ Saturday, March 8, 2025 7:00 pm LHS Trivia Night, doors open at 6pm  

 

Class of 2028 Director’s Report, Jenny Champlin/Stacy Nagel/Sara Robeson

●     The 12/16/24 was lightly attended.

●     Next Meeting is scheduled for 1/14 at 7pm.

●     Saturday, January 25, 2025 10:00 am - 2:00 pm LHS Winter Carnival

○     The stuffed animal drive is going well-current count is 488 with more recently delivered.

○ Needed donations and Amazon items have started to arrive. Carnival donations are needed-hoping to see a uptick over the next 2 weeks.

○ Volunteer requests went out via Parent Square/Student Square-thank you to Giovanna & Aleta for helping w this. More adult volunteers are needed for game oversight and ticket sales.

○ Need to do a big publicity push and push for volunteers this week.
