Lancer Parent Organization Board Meeting
November 13, 2023

Attendees: Sara Robeson, Giovanna Lear, Aleta Harris, Amy Buckley, Mark Masterson, Tracy Montgomery, Dawn Werk, Jennifer Adams, Jenna Fleming, Jennifer Zeck, Deanna Vardeman, Michelle McSpadden and Dr. Calcaterra.
October 2, 2023 Minutes Approval. Aleta Harris motioned, Giovanna Lear seconded. The motion carried.
November 13, 2023 Consent Agenda Approval. Sara Robeson motioned, Giovanna Lear seconded. The motion carried.
Principal’s Report, Dr. Calcaterra:
- It has been a great fall season at LHS for athletics/arts/music/academics.
- 176 Juniors and Seniors were recently inducted into the National Honor Society.
- The Canned Food drive concludes on 11/17.
- The Link Crew recently presented to the freshmen on organizational skills and stress management.
- The LPAC (Lafayette Principal’s Advisory Committee) has been meeting.
- As a part of their semester course enrollment process, students will be engaging in prospective course planning that spans not only for that specific semester, but until the time of their graduation from high school. This content will be viewable in Infinite Campus.
- Best Buddies will hold their Friendsgiving on 11/16.
- Nice November activities and theme days continue with today being “Color for a Cause” and this Wednesday “Lancer Kind”
- A priority project as a result of the recent passage of Proposition 3 will be a newly paved parking lot for Lafayette. Will also be looking into possibility of a paved walking path to access the back fields, as well as possible directional signage for the athletic fields.
President, Sara Robeson:
· Please use the LPO closet first for items your class may need for fundraising. Please do NOT allow any open food to be stored in the PTO closet (leftover open candy/ suckers/ etc). All items need to be in sealed packages.
· Parent Presentation - LHS Counselors - Nicole Buesse- Supporting your child with anxiety Thurs Nov 16 7:30-8:30
· Canned Food Drive /Adopt a Family- LPO will be sending out a link to support the last week of the canned food drive. Included with the link will be an opportunity to purchase gift cards in support of Adopt a Family.
· Discussion-Volunteer brainstorming - how can we find people, how can we keep people? Discussed importance of rebuilding the sense of community, tendency of many volunteers to be more likely to commit in the near term, instead of further in advance. Importance of thanking our volunteers.
First VP-Community Involvement, Giovanna Lear:
· LaDonna & Nicole provided a nice lunch from UKraft for the admins.
· Nothing Bundt Cakes were provided for our staff Veterans.
Second VP-Communications, Aleta Harris:
· A targeted email regarding the need for school store volunteers was sent.
· Please submit newsletter content by 11/16 for distribution on 11/20.
· Discussed potential need to bring back a 2nd newsletter to be sent during each month and options for timing.
Treasurer, Mark Masterson:
· Monthly Financial Report was distributed.
· Highlighted the importance of volunteer staffing to keep Lancers Landing open to stay on track for the budget. The Lancers Landing financials have been going down over the past 3-4 weeks in connection with staffing challenges and are down from last year.
· Approximately 50% of Lancers Landing sales are done via Square-this is costly for the LPO due to the fees, but it is a convenience that is needed based on demand. MTK has a more integrated option, but the cost and fees incurred would be significantly more.
· Discussed possibilities including raising the minimum credit card purchase amount, need to raise price of specific items, a QR code to be able to load money on and bringing back adding stamps to the back of the punch cards to help eliminate any use of copycat cards.
Class of 2024, Tracy Montgomery/Beth Nelson:
· The first of the two Memory Maker events will be Nov 18/19th at Forest Hills. Everything is set to go on these. Sales are open for all 4 MM events and Senior Celebration and registrations are coming in. Still do not have overall chair for Senior Celebration, but many volunteers are signed up.
· Father/Daughter had sold 104 tickets so far (goal was 150 based on previous years sales) and Mother/Son had sold 92 tickets so far (goal was 140 based on previous years sales). Ticket sales remain open.
· Forest Hills Country Club has agreed to waive the minimum required spending amount.
· Décor will be shared amongst the two events and modified accordingly.
· Interstate will be taking photos and a DJ is in place for the dance.
· Packets will be distributed this Wednesday/Thursday during lunch.
· A parent volunteer created the invitations and printed materials and the Rockwood School District print shop is doing the printing.
· Seniors have placed their orders for caps/gowns.
· Will start working with In the Blink of an Eye volunteers to start the collection of images from students.
Class of 2025, Dawn Werk & Tara Ference:
· Conversation taking place with a potential chair for the Taste of West County event.
· Some committees are still in need of chairs. The restaurant committee has been filled.
· The list of restaurants used by Marquette is being cross-referenced and are trying to bring in some different restaurants that were not used by Marquette for their event
· The next committee meeting is scheduled for 11/28 and social media reminders will go out.
Class of 2026, Shalini Arya:
· We need a 3rd Class Director
· Update about Trivia Night--All committees have been formed. We have an upcoming meeting on November 16th @ LHS. We have some suggestions for the Theme and we will decide during the meeting about it.
Class of 2027, Jennifer Adams & Jenna Fleming:
· Class of 2027 held our meeting on 11/7 for the Carnival. We now have all the committees full as we had volunteers for games/prizes and Setup/take down.
· Our plan is to have an Amazon wishlist, Event volunteer Sign up Genius, and vehicle for cash donations ready to go first week of December.
· The next meeting will be held on 12/12.
· Discussed that students from NHS, Key Club etc can be asked to assist with setup etc.
· Jennifer & Jenna did a thorough cleaning of the LPO closet.
Lancer’s Landing, Shalini Arya:
· Continuing to have a need for more volunteers to sign up. Every Tuesday Morning, the School Store is closed. I need everyone's ideas and support to spread the word regularly. May I please request all the Class Directors to spread the word on their respective FB/IG platform, it might help us.
· Need a Friday day manager.
