Lancer Parent Organization General Meeting
September 11, 2023
Call to Order: 7:01 p.m.

June Minutes Approval- tabled until next meeting. Sara is working to locate the minutes.
August 14, 2023 Minutes Approval. Lizanne Campbell motioned, Beth Nelson seconded. The motion carried.
September 11, 2023 Consent Agenda Approval. Sara Robeson motioned, Jen Adams seconded. The motion carried.
Principal’s Report, Dr. Calcaterra:
- The facilities updates at the pool door entrance are complete. Traffic shifts will remain for parent drop off due to improved traffic flow and safety.
- The City of Wildwood will be placing permanent traffic markers to assist with traffic flow at the Clayton/109 intersection.
- The Patriot Day Ceremony was held today.
- The Homecoming Theme is “Once Upon A Homecoming” and dress up days have been established for the week.
- The LINK Crew did presentations for students today on “getting involved” during AcLabs. Information was shared with the Class of 2027 Directors.
- Mr. Choate is a finalist for Teacher of the Year for the State of Missouri and completed another round of interviews last week.
- Library updates are in progress.
- Quotes are being sought for water bottle refill stations for outdoor areas.
- Proposition 3 will be on the ballot. Some items that could be covered by this initiative that would impact Lafayette include additional outdoor lighting near the stadium and in parking lots, replacement of the 30 year old HVAC system, an updated clock/bell system that synchronizes and an update to the camera and security system. Proposition 3 is not a tax increase or a bond issue.
- Dr. Calcaterra will look into a request for an updated list of EIN’s for tax exempt entities with ties to LHS.
President, Sara Robeson:
· Discussion-Memory Maker Events-All senior class members are welcome to these events. A “Special Guest” notation will be added for clarification.
· Discussion-Financial Procedure Review-Any purchases on behalf of the LPO must have a payment request form completed and submitted so that the financials can be properly tracked and tied to the appropriate budget line item. The only exception is for purchases made by Amy Danner, as Lancer’s Landing Co-Chair at Sam’s Club.
· Patriot Day Ceremony/ Emergency Services ceremony - 7:50 am on Sept 11 at the LHS Stadium
· Family/ Parent Involvement in Education Week Sept 11- Sept 15- Donate, Be Present, Volunteer, Support - We’ll be running a daily campaign this week to encourage families to be involved and thank them for present involvement. If you have ideas for pics let me know
· President's Forum Reminder- Wed, Sept 13 at Eureka High School 5:30-8:15pm
· New Members to the Board -Please welcome Jennifer Robertson - Class of 2027 Treasurer, Jenny Shaw- Spiritwear Co-chair and Angela Sublette- Spiritwear Co-Chair
· Proposition 3- Rockwood School Board has voted to put Prop 3 on the Nov 7, 2023 Ballot. The dedicated funds would be used for ongoing safety, technology and facility updates at Rockwood schools (including Early Childhood, the Center for Creative Learning and the Pathways Wellness Center) as well as additional buildings like transportation and support facilities.

First VP-Community Involvement, Giovanna Lear:
Volunteers
· Been fielding volunteer general interest submissions through MTK. As forms come in I am sorting those interest requests and sharing them with those committee leads for follow-up, as well as sending each person a welcome email. Committee Chairs can then reach out to those parents when they have specific needs. Committee chairs and class directors, please connect with those parents sooner rather than later to make an introduction.
· For specific volunteer needs, reach out to Lizanne Campbell so she can create an online volunteer sign up. Share all sign ups with the following to reach the parent community;

Staff Appreciation
· Provided Donut Palace donuts and fruit platter for the staff on the first Friday back to school. Big success! Thanks to LaDonna Ellis for making that happen!
· Provided back to school survival treat bags for all staff with a travel pack of advil, a flair pen and chocolate candies! Thank you, Nicole Vandesteeg for putting those together!
Community Outreach
· April Ladner is working with Admin to coordinate specifics for Homecoming events
· Discussion-Volunteer Sign-Ups—Can we create specific sign ups for specific volunteer needs, versus putting several different volunteer needs into one sign up? Most sign ups will be by specific needs. They will only be combined when there is a rationale for doing so.
Second VP-Communications, Aleta Harris:
· The most recent newsletter went out on 9/8/23
· 10/5 is the deadline to submit content for the 10/10 newsletter
· Beginning in November, the newsletter will be distributed mid-month to ensure content from LPO meetings is included
· Continuing to work to get the various social media accounts organized with the appropriate access and to tie together the posts across platforms
Treasurer, Mark Masterson:
· Monthly Financial Report was distributed. The new MTK platform was utilized.
· Please used the payment request form for any purchases on behalf of the LPO
· A new safe was purchased for placement in Lancer’s Landing
· Content from Square to MTK will be handled manually due to cost constraints.
· Lancer Legacy Campaign is close to 50% of the goal.
Class of 2024, Tracy Montgomery/Beth Nelson:
· Volunteer spots are slowly filling for the Senior events and tasks
· A class meeting for parents will be held on 9/18
· Memory maker and celebration tickets to go on sale soon
Class of 2025, Dawn Werk & Tara Ference:
· The first parent planning meeting will be held on Thursday, 9/28
· Requests for parent volunteers going out via social media
· Dawn will attend Marquette’s “Taste” event on 9/20 to learn and observe
Class of 2026, Shalini Arya:
· Discussion regarding need for Class Homecoming volunteers-there are no longer individual Class floats, which minimizes the need for parent volunteers from each class for float building etc. Any student wishing to participate in the parade, whose activity does not have a float is welcome to be a part of the overall Lafayette High School float.
· The trivia night planning meeting for parents will be held on 10/19 at 6:30pm
Class of 2027, Jennifer Adams & Jenna Fleming:
· A parent planning meeting for the Carnival is scheduled for 9/12
· The freshman class tailgate for students was held on Friday, September 8th from 5:30-6:30pm
o The turnout was not large, but those who came stayed, hung out and seemed to enjoy the event
o The time seemed to work well for students coming from practices or for those to come early before the game
o The quantity of food was accurate
Lancer’s Landing, Shalini Arya:
· Volunteer signups are going well
· A manager is needed for the Tuesday morning shift. Need to continue to promote this need
· Request made for Treasurer for a month over month comparison of sales, as well as a month over year comparison
· If concerns exist regarding theft or inappropriate behavior, please notify a school administrator and also note the time of the incident so that the cameras may be reviewed
Community Events & Outreach, April Ladner:
· Homecoming
o 2 parade judges have been secured and a call is out to 1 more
o A count is needed for cars to use in the parade
§ The Masterson family will volunteer the use of their convertible
o 3 additional magnetic signs have been ordered (others were replaced last year)
o It would be helpful to obtain a list of parade entries in advance of the parade to provide to judges. Dr. Jones’ office can assist with this.
Hospitality, LaDonna Ellis:
· The first Friday of school we were able to set up 14 dozen dozens from Donut Palace and a fruit tray from Dierberg’s. Donut Palace has many Lafayette students that work there so the owner was very happy to get our business. Next event we will plan for will be dinner for one of the fall teacher- conference days. I will work with Dr. Calcaterra on what are some favorites for the staff for that night.

· The Communications department is contacting families who opted out of the directory regarding their decision to exclude their students from everything listed on the FERPA refusal form including the yearbook.
