Lancer Parent Organization Board Meeting

January 8, 2024

Call to Order: 6:32 p.m.

Location: Zoom

December 11, 2023 Minutes Approval. Aleta Harris motioned, Mark Masterson seconded. The motion carried.

January 8, 2024 Consent Agenda Approval. Jennifer Adams motioned, Mark Masterson seconded. The motion carried.          

Principal’s Report, Dr. Calcaterra:

  • Finals week is underway.
  • Dr. Jones will be retiring at the end of the school year-final interviews are scheduled for tomorrow for a replacement for his position.
  • Curriculum Night is scheduled for January 23, 2024. Communications are going out to current 8th grade parents.

 

President, Sara Robeson:

·         Curriculum Night is 1/23/24. Volunteers will be needed to sell spiritwear and showcase Lancers Landing and to speak with interested parent volunteers about opportunities to get involved. Sign up will be coming via email.

·         Please encourage your class families to support other class fundraisers

·         Social Media/ Newsletter Communication 

o   Coming into time of year we ask a lot

o   Make sure to provide info for families as well

·         LPO/ Lancer Landing Donations to Class Fundraisers - each class can request up to $75 in store merch.  Please make a note of it in the spiritwear book (under payment SQUARE, Cash, Credit - put " Class of 202X fundraiser per 12/23 LPO meeting")

·         Social media campaign for information about senior events, why we fundraise and who is fundraising.

 

First VP-Community Involvement, Giovanna Lear:

·         We will be putting together the slate of officers and committee chairs for a vote April 1st.  Please let us know if you plan to return, or not, to your current position.  We will be seeking volunteers to fill those open positions and would love to have the help of the entire LPO to encourage parents to join.         

·         You can email Giovanna Lear at lancerparentorgvp@gmail.com to let us know your plans for the 2024-2025 school year.  We appreciate all you do and hope you will continue to serve our students, our staff and school!

·         Volleyball challenge will be coming up in spring semester on April 12th, 2024. 

·         The Class of 2026 is in need of a new class director to join Shalini. If we could get 2 new directors to make it 3 total, that would be great. 

·         We will also need a volunteer sign up chair come 2024-2025, so if anyone knows someone that would like to take on that role, let us know. Lizanne has done an amazing job, but needs something less time consuming.

·         Starting in January we will begin filling the board slate for the 2024-2025 school year. Please keep your feelers out for parents that would like to get involved. 

·         School store is still struggling with volunteers. We may need to consider alternative options for staffing and store hours. Particular needs are a Thursday afternoon and Friday afternoon manager and volunteers for the Tuesday and Wednesday morning shifts.

·         Aim to have the School Store open on Curriculum Night so that parents can learn more about the school store and opportunities to volunteer. Consider creating a flyer with a QR code with volunteer opportunities. 

 

Second VP-Communications, Aleta Harris:

·         Please submit newsletter content by 1/12 for distribution on 1/15.

 

Treasurer, Mark Masterson:

·         Monthly Financial Report was distributed.

·         May need to consider budget adjustments for Lancers Landing if volunteer staffing challenges persist.

 

Class of 2027, Jennifer Adams & Jenna Fleming:

·         Donations have picked up.

·         Currently have 1/3 of adult volunteers that are needed for the day of. Ideally need a minimum of 4-5 more adult volunteers per shift. Shifts are scheduled for 9;30-12:30 and 12-3 to allow for a little overlap.

·         Publicity is ongoing via the website, coloring sheet (completed sheet submitted earns 2 tickets), dedicated facebook page etc. Digital copies have been distributed to elementary schools, preschools and to the Wildwood newsletter.

·         Stuffed animals are being collected in Dr. Borzillo’s office for use as prizes.

·         Communications have gone out via Parent Square and Dr. Borzillo and via social media with an emphasis on what volunteering involves.

·         Will request that Dr. Borzillo sends out communication to feeder elementary schools via Parent Square.

·         Class of 2027 will hold our next meeting tomorrow on 1/9/24 for committee chairs.

·         "Can you believe the carnival is just 2 weeks away?!  Below are the three links--Parent volunteer/concession donations, Amazon Wish List, & cash donations.  We also need your new, or like new, stuffed animals of all sizes! All items can be brought to rm 215, Dr. Borzillo's office by Wednesday 1/17."

Class of 2025, Dawn Werk & Tara Ference:

·         Taste of West County has co-chairs for most committees, however Dawn & Tara may need to step in to co-chair the overall event together.

·         Gift cards are being donated

·         Restaurant solicitations have been started and are being led by Renee Smola, Dawn & Tara.

·         Publicity efforts are beginning.

·         NHS and Key Club were alerted today about need for student volunteers. It was suggested that ROTC be asked as well.

·         Tickets will be $15 per person or $50 per family of 4 and available via the square site and membership toolkit. Deanna Vardeman is working to create a QR Code.

·         Can look into the Restaurant Depot downtown for discounted serving utensil needs.

 

Class of 2026, Shalini Arya:

·         We need an additional Class Director or 2.

·         Working with April Ladner and Jen Zeck to set up square site.

·         Enlisted help from students to create a flyer and logo.

·         Auction team is reaching out to businesses.

·         Will work with Aleta and Dr. Fields to send out communication to class parents.

·         Working with a couple to develop trivia questions.

·         No change in pricing is anticipated.

 

Class of 2024, Tracy Montgomery & Beth Nelson:

·         A Senior Class Parent Meeting is scheduled for January 22nd at 6pm to cover topics such as volunteer needs for the remainder of the year, baccalaureate, cap & gowns etc.

·         If Senior Celebration co-chairs are not identified by January 26th, the event may need to be cancelled. Only 45 tickets have been sold so far. Possible reasons for low ticket sales include the graduation date change, the following day being Mother’s Day, AP Exams the following week etc.

·         A suggestion was made to speak with the students about what Senior Celebration is—it has been a challenge to be able to get facetime to speak with the students during the school day. Another suggestion was to create a video highlighting last year’s seniors.

·         A meeting is scheduled for this Thursday 1/11/24 to plan for the Spring Memory Maker Events (Mother/Daughter, Father/Son).

·         It is important across all classes to remind parents that all class events are dependent on parent volunteers beyond those already serving as LPO Board Members and Committee Chairs in order to hold these events.

LPO Website/Membership Toolkit, Martha Czymmek:

·         New district website training scheduled for 1/4/24 was cancelled & will be re-scheduled soon. 

·         Will update our LPO district website after training. 

Staff Appreciation & Hospitality:

·         Considering providing treats the week of Valentine’s Day. Nicole will collaborate with Dr. Calcaterra to receive information from staff preference survey.
