Welcome/Call to Order, Giovanna Lear The meeting was called to order at 7:03pm.

● October 21, 2024 Minutes Approval. Aleta Harris motioned. Jenny Champlin seconded. The motion carried.
● Approximate times have been added to the agenda in the attempt to keep the meetings running in a timely manne Going forward, when submitting your agenda items, please indicate whether items will require discussion, as well a the approximate time needed to cover your agenda items.
Principal, Dr. Karen Calcaterra (presented by Giovanna Lear)
● Athletics and activities have had a busy and successful fall. Some seasons have concluded with a football and swim/dive post-seasons continuing. District championship football tickets for 11/15 will be available for online purchase online (no cash sales at the gate).
● Nice November activities are underway for Lafayette staff. ● The canned food drive runs from 11/11 to 11/22.
President, Giovanna Lear
● A reminder that all LPO sponsored events are alcohol free.
● Teacher of the year nominations end 11/15. Students may submit nominations.
● Adopt a Family - coming soon.
● Meeting guest speaker - postponed to future meeting.
● LPO Amazon nonprofit business account is available for use by classes for their events. This is not a Prime account, so shipping fees may be incurred. Classes may create wishlists for their events that families may order from.
● Class of 2028 needs to verify their email address in MTK. Giovanna can resend a verification link if needed.
● LHS Yearbook ad has been designed and submitted. This is a ½ page ad as in previous years. The cost this year is $250. Treasurer, Deanna Vardeman will submit payment for the ad.
● Class of 2025 contracts should be submitted to Giovanna for completion.
● Lancer Direct Donation Campaign - Corporate Matching should be encouraged to help meet the campaign goal.
● The next Presidents’ Forum meeting will be held Wednesday November 13, 2024. Agenda items were highlighted.
● Bylaws and Standing Rules review
○ A zoom session was held on 11/5/24 to allow for additional questions and discussion surrounding the proposed bylaw revisions.
○ Proposed changes to the 2022 approved LPO Bylaws were distributed and presented with one additional change made.
○ Dawn Werk motioned to approve the LPO Bylaws as presented. Jennifer Adams seconded. The motion carried with one voting in opposition.
○ Further edits will be made to the draft Standing Rules and distributed for review.
Treasurer, Deanna Vardeman
● All class accounts have been opened at First Community Credit Union and class funds transferred into their respective accounts. Class accounts have a debit card and checks.
● We are working on closing the accounts at First Bank.
● All Class Treasurers now have access to their account balances/monthly statements.
● For all LPO Payment Requests/Reimbursement Requests, please complete the form on Membership Toolkit under "LPO Business" and attach a copy of the corresponding receipts.
● Budget vs Actual 7/1/24-10/31/24 was distributed.
○ All accounts are within budget. The Class of 2024 Rollover is sitting in the Holding Account until a decision is made regarding podium purchases.
● LHS LPO Summary for October 2024 was distributed.
○ As of 10/31/24, “Direct to Class Support” funds were transferred from the general LPO account to the respective class accounts.

● Newsletter-working with RSD to include the newsletter with Parent Square. There is an approval process required Parent Square communications. Remember to send newsletter content to Aleta by Fridays for the following week

Information regarding Chat for Schools use for students was sent to parents today by RSD Chief Information Officer, Bob Deneau.
● Directory/Membership Toolkit, Martha Czymmek
○ FERPA list MTK Directory updates completed.
○ As of 11/8/2024, Contacts = 268 active & 1,243 outdated.
○ 1804 Students (9th grade=434, 10th grade=452, 11th grade=460, & 12th grade=458) including dual household families.

● Lancer Direct Donation Campaign
○ Have continued to advertise in the newsletter. Will continue to passively advertise, as the campaign has not reached the goal. Will prioritize class fundraising needs at this time. Can do an additional push for Lancer Direct Donation Campaign after class fundraisers have concluded. Need to be specific about what the funds are used for. Need to ensure that all parents are receiving the communications-use of Parent Square should help with this.
○ Will send emails to those who have already donated reminding them of Corporate Matching opportunities
● Lancer’s Landing
Inventory, Chelsea Watson
○ Fun Food Friday: 11/15. Determining appropriate quantity to purchase and whether items will be sold at both morning and lunch shifts.
○ “Item of the Month” Munchies $1.50
Operations, (Open Position)
○ Continuing to evaluate existing store policies and procedures
○ Lancers Landing will begin offering gift cards for purchase. Gift cards must be purchased in person.
Volunteers, (Open Position)
○ Need: Morning Shift Managers - Monday, Tuesday and Wednesday
○ Need: Lunch Manager - Tuesday to job-share with current Tuesday Lunch Manager
○ Discussed providing additional information regarding shift store volunteer duties and responsibilities for parent who are considering volunteering for the first time.
● School Grants, Dawn Hagen
○ Committee will be active in Spring 2025
● Spirit Wear, Jenny Shaw & Angela Sublette ○ New items ordered and tagged
○ The online store will be closed until the inventory is updated online.
Class Updates
Class of 2025 Director’s Report, Tara Ference/Dawn Werk ● Recap of Memory Maker Events held on 11/2/24.
○ 101 Tickets were sold for the Father/Daughter Dance. 107 Tickets were sold for the Mother/Son Brunch. Typically refunds are not issued, however a few were issued due to post-season athletics and military requirements.
○ Kylie Tenny was the event photographer. Facial recognition software can be used to more quickly locate specific photos.
○ The DJ was well received.
○ The food was good. Prices are rising at Forest Hills, so Class of 2026 will need to consider what is affordable and price structure.

● Trivia Night Theme “Around the World”
○ Graphic Arts students promotional content has been created.
○ Unsure if trivia hosts are returning for this year-have been in contact with them.
○ Discussed potential options for event emcee.
○ Approximately half of committee chair positions have been filled.

○ Stacy is coordinating the stuffed animal collection
○ Most committees have received volunteer interest, but more volunteers are needed.
○ Discussion regarding pros and cons of using the different available communication tools and sign-up tools to reach parents and students. More research is needed surrounding Parent Square.
