Lancer Parent Organization Board Meeting

March 11, 2024

Call to Order: 7:03 p.m.

Location: LHS Room 180

Attendees: Sara Robeson, Giovanna Lear, Aleta Harris, Amy Buckley, Mark Masterson, Tracy Montgomery, Beth Nelson, Jennifer Adams, Jenna Fleming, Jennifer Zeck, April Ladner, Deanna Vardeman, LaDonna Ellis and Michelle McSpadden.

 

February 12, 2024 Minutes Approval. Sara Robeson motioned, Aleta Harris seconded. The motion carried.

March 11, 2024 Consent Agenda Approval. Jennifer Adams motioned. Jenna Fleming seconded. The motion carried.             

 

President, Sara Robeson:

·         GRANT COMMITTEE Review Meeting -Thursday, March 28th at 1pm-  If you are interested in reviewing grant submissions and helping make grant recommendations to the board, we would love to have you!  Please RSVP to Sara to make sure to have enough review packets available. Communications have been sent to staff, students and parents. Submissions close on 3/26.

·         SLATE - Please be sure to contact Giovanna with any ideas you have of people who might be interested or that you might recommend to join our board.

·         Meeting Date adjustments-The May meeting will be changed from May 13th to May 6th and will be the general meeting, rather than the April 8th meeting.

·         LPO folded note cards and envelopes will be ordered and stored in a cabinet in Lancer Landing for use by all LPO Board members and Committee Chairs for thank you notes.

·         Would like to compile a list of vendors used, including the contact name and number of those the LPO has worked with and have good relationships with. Please send these to Sara.

 

First VP-Community Involvement, Giovanna Lear:

·         Seeking volunteers to fill open positions including co-Treasurer, Grant Committee Chair, Website Manager, Hospitality, Community Outreach and Events 2026 Class Directors and 2028 Class Directors/Treasurer and would love to have the help of the entire LPO to encourage parents to join.      

 

Second VP-Communications, Aleta Harris:

·         The LPO newsletter will repeat content for the next two Mondays, due to Spring Break. If you have any information you would like included in the newsletter or added to the website, please send to the VP of Communications (lancerparentorg@gmail.com) by this Wednesday.

Treasurer, Mark Masterson:

·         Monthly Financial Report was distributed.

·         $2,000 was distributed to each Class account from the LPO account.

·         Participated in an hour-long session with MTK this past week to ask questions and learn more.

·         The MTK report style abilities and limitations were discussed.

·         Thank you for submitting payment requests through the Google Drive.

 

Secretary, Amy Buckley:

·         Can provide LPO Agendas and Minutes from the 23-24 year for inclusion on the RSD hosted website. All previously submitted and posted agendas/minutes were lost during the district transition to a new website. Aleta will provide instructions to Amy for re-submission.

 

Class of 2024, Tracy Montgomery & Beth Nelson and Jennifer Zeck:

·         The Mother/Daughter Bunko event and Father/Son Game Night event were held this past weekend. Both events were well received and went well. Thank you to all of the parents who volunteered to chair and help with these events. Discussed some feedback surrounding the events, which will be captured in more detail in the event specific binders. Discussed possible alternatives to the Father/Son Game Night due to the higher cost/lesser attendance of this event, as well as some personal concerns with gaming.

·         Senior Celebration has sold 132 tickets so far. There will be a planning meeting held soon, as well as a meeting for Senior Week.

 

Class of 2025, Dawn Werk & Tara Ference (not in attendance due to TOWC event):

·         Taste of West County—event took place this evening. Board Members report that the event was fun to attend and were happy for its return to Lafayette. The quality of the food samples were great.

 

Class of 2026, reported by Giovanna Lear:

·         Trivia Night—the equivalent of 31 tables were sold. It was estimated approximately half of attendees were LHS students and half were adults. Around $4800 was made from the silent auction. Awaiting final numbers for the overall event. Food presales were not well received. Note for next year to include on any public advertisements that this event is for ages 14 years and older (no drop-off’s of non-high school students) and is an alcohol-free event, as the general public may not be aware.

 

Class of 2027, Jennifer Adams & Jenna Fleming:

·         The Class of 2027 Directors attended the Trivia Night to get a sense of the event for planning purposes for next year.

 

Lancers Landing, reported by Giovanna Lear:

·         Volunteers are needed.

 

Parent Pay/Square, Deanna Vardeman:

·         Please send any Senior Week items to be built out in Square. Discussed who would run the daily Square reports for Senior Week. Jen Zeck can do these.

 

Community Outreach and Events, April Ladner:

·         Volleyball challenge will be coming up in spring semester on April 12th, 2024. Parent volunteers will be needed for concessions. Gift cards will be purchased from local dining establishments for the winning teams.

·         Special Olympics will be on April 24th, 2024. Student signups are open. Adult volunteers will also be needed.

 

Hospitality, LaDonna Ellis:

·         The final Parent Teacher Conference dinner for teachers will be held on March 13th. We will serve Qdoba. A need still exists for volunteers to assist with setup and cleanup.

·         We are also planning for the final all staff luncheon which will take place May 24th. Still deciding on a vendor for that event. That event will need volunteers as well. Any ideas send them to LaDonna. 

 

LPO Website/Membership Toolkit, Martha Czymmek:

·         Received the FERPA District list for Spring Semester 2024. MTK LPO database has been updated for our directory/newsletters. Student families not on the FERPA list were changed to inactive. LPO student families who are inactive in the MTK database will not be included in the directory or receive newsletters. Also added student families who were missing in the MTK database. 

 

As of 3/8/24,

393 Active 1,022 Outdated 1,322 Inactive

 

1695 Students: 

5 Class of 2028 (current 8th graders), 413 Class of 2027, 444 Class of 2026, 431 Class of 2025, & 402 Class of 2024.
