Lancer Parent Organization Board Meeting
April 8, 2024
Call to Order: 7:08 p.m.
Location: LHS Room 180

Attendees: Sara Robeson, Giovanna Lear, Aleta Harris, Amy Buckley, Mark Masterson, Tracy Montgomery, Beth Nelson, Tara Ference, Dawn Werk, Jennifer Adams, Jenna Fleming, April Ladner and Nicole Vandesteeg.
March 11, 2024 Minutes Approval. Beth Nelson motioned, Jennifer Adams seconded. The motion carried.
April 8, 2024 Consent Agenda Approval. Sara Robeson motioned. Giovanna Lear seconded. The motion carried.
President, Sara Robeson:
· Grant Committee Update/Recommendation-15 requests were submitted (3 of those were from students). The total dollar amount of the submitted requests exceeds budgeted funds available. The committee is seeking additional details for some of the requests and will meet again to make a recommendation regarding those submissions, which will then be sent to the board for approval. Information regarding the submissions deemed to be complete and recommendations of the committee were shared.
o Mark Masterson motioned to accept the grant committee’s recommendation as presented to approve $5,838.71 in grants. Aleta Harris seconded. The motion carried.
· Please have ALL your committee members from fundraisers/ events return all items & binders that they are finished with to the closet by 4/15 so we can inventory & clean the closet.
· If your fundraiser/ event purchased an item that might be considered for general use, please send me the name if the item (ie- gold sequined photo backdrop or photo backdrop stand) so we can begin to create a list of general use items & quantities and devise a check-out system
· Please help publicize our volunteer needs for special Olympics, the Volleyball challenge and end of year events within your class social medias
First VP-Community Involvement, Giovanna Lear:
· We continue to seek volunteers to fill open positions including VP Community Events, VP Fundraising, Grant Committee Chair, Website Manager, Hospitality, Community Outreach and Events, 2026 Class Directors and 2028 Class Directors/Treasurer and would love to have the help of the entire LPO to encourage parents to join. Please submit any interest to Giovanna. Communications will be sent to Lafayette parents soliciting interest.
· Beth Nelson made a motion to approve the 2024-2025 Slate as submitted. Jennifer Adams seconded. The motion carried.
Treasurer, Mark Masterson:
· Monthly Financial Report was distributed and discussed.
· The 2024-2025 Budget was prepared with input from a budget committee. The 2024-2025 Budget was presented.
· Beth Nelson made a motion to approve the 2024-2025 Budget as presented. Aleta Harris seconded. The motion carried.
Class of 2024, Tracy Montgomery & Beth Nelson:
· Senior Celebration has sold 153 tickets so far.
· Senior Week sales are ongoing and were organized by Paula Spellman and Amy Jordan. Class funds will be used to purchase Chick-fil-A and a sweet treat for all seniors on one of the days.
· A suggestion was made that Class Directors be granted access to the Buzz Book for use in their role.
· Tracy Montgomery and Jen Zeck are coordinating baccalaureate.
Class of 2025, Dawn Werk & Tara Ference:
· Taste of West County—the event was a success and had a good number of parent and student volunteers. Junior students assisted with setup and teardown.
· There were 24 vendors (1 cancelled 30 minutes prior to the event). Over $7,000 in profit was made for the Class of 2025. 53 family tickets were sold and 195 individual tickets.
· Discussed the need to begin the process of booking Senior Celebration.
Lancers Landing:
· Volunteers are needed.
Community Outreach and Events, April Ladner:
· Volleyball challenge is April 12th, 2024. No parent volunteers have signed up to assist with concessions, so April & Aaron Ladner will cover the shifts. will be needed for concessions. Items for concession sales have been purchased.
· Special Olympics will be on April 24th, 2024. Student signups are open. Adult volunteer signup is mostly full, but need a few more people to assist with the morning hot dog prep shift. Discussion surrounding what food items are given away and to whom vs what items are sold.
Staff Appreciation, Nicole Vandesteeg:
· Librarian Appreciation Day was held with the theme of “Thanks for all the roles you fill” and they were treated to cinnamon rolls.
· Plans are in the works for a Hydration Station Day in April.
· LaDonna is also planning for the final all staff luncheon which will take place May 24th. Still deciding on a vendor for that event. That event will need volunteers as well. Any ideas send them to LaDonna.
