Call to Order-Giovanna Lear

The meeting was called to order at 7:02pm.

 

Secretary, Amy Buckley

●       August 12, 2024 Minutes Approval. Jenny Champlin motioned. Jen Adams seconded. The motion carried.

 

Principal, Dr. Karen Calcaterra

●       The school year is off to a great start. The students are excited, kind and talkative.

●       On Wednesday, 9/11 the remembrance ceremony will take place on the track, followed by a breakfast for first responders who are in attendance.

●       Rockwood School District is currently working on re-writing the CSIP. The new theme will be “We plan, we partner,

 we promise.”

●       There is a focus on literacy skills. On late start days, the data dashboard is reviewed by RTI teams who study how the students are doing and put plans in place to support them.

●       Positive behavior referrals are new this year to recognize students who are doing the right thing.

●       This year’s Homecoming theme is “Under the Sea.” Dr. Borzillo will be responsible for the parade.

 

President, Giovanna Lear

●       Working to link google drive for agendas/minutes/financials to MTK and RSD website.

●       A review process and updates to Bylaws and Standing Rules are in progress

●       Meeting space requests go through the Athletic Director’s office

●       Presidents’ Forum Updates

○        Leadership Conference at Lafayette - September 11, 2024 5:00pm-8:00pm (4:30pm arrival)-please plan to attend.

 

Treasurer, Deanna Vardeman                   

●       A revised 2024-2025 budget was presented and discussed. This revised budget essentially reduces income and expenses by 25% due to changes with Lancers Landing(a significant income source), which has undergone changes that may impact income. Will continue to evaluate actual budget numbers on an ongoing basis. Lancers Landings deposits will be tracked on a daily basis.

○        2024-2025 revised budget approval. Dawn Werk motioned. Jenny Champlin seconded. The motion carried.

●       No longer using parent pay or square for online LPO event ticket sales. All online advance ticket sales will go through MTK.

●       A new Square terminal is in use in Lancers Landing. This will be available for LPO Class events use. There are unique logins for each Lancers Landing shift manager and they will also be created for LPO Class treasurers.

●       All spirit wear sold in Lancers Landing (including cash sales) are run through Square for inventory control.

●       Taxes are due on 11/15. Working to obtain needed financial information from the Class of 2025.

●       Nonprofit annual registration complete for 2024-2025                    

                                                           

●       Budget Reports

○        Income and Expense Report through 8/31/24 was provided.

○        Statement of Financial Position as of 8/31/24 was provided.

 

VP Communications, Aleta Harris

●       Adjustments have been made to the appearance of the newsletter in the aim of a more consistent view whether

viewing on a mobile device or desktop.

●       The newsletter content will be concise linking to the website for additional information. Send all newsletter content to Aleta by each Friday.                    

                                                                                                           

●       Directory/Membership Toolkit, Martha Czymmek

○        Working to obtain FERPA list from LHS registrar-they will contact 120 families that opted

out of the directory on the FERPA form

○        Will follow-up with LHS registrar in late September/early October before submitting FERPA

form request to the Communications department

○        Contacts (200 active, 1,133 outdated). 1560 students (264 9th, 415 10th, 449 11th, 432 12th)

○        Hopefully, our LPO newsletters can be sent via Parent Square and/or Class Principals’

weekly emails in the near future to reach our 9th grade families & new families not yet

included in our Directory/Newsletters website database yet.

 

●       Social Media, presented by Aleta Harris                                                                                                                   

○        New Facebook and IG accounts: “Lafayette Lancer Parents”

○        New approach with our social media outlets

○        Increased frequency in which we post and posting information from the grade-level weekly newsletters

 

●       Website Manager

○        Working with the RSD Communications Department to update the LPO pages on the Lafayette website and setting up our access to ParentSquare.

○        Grade-level admin to share RSD LPO website link in weekly communications.

○        Aleta is available to train a Class Director from each class to update their class website.

 

VP School Community, April Ladner

●        Actively monitoring all volunteer interest requests. Interest has slowed down recently.

●       Volunteer Needs:

○        Class of 2026 Co-Director

○        Community Events Chairs (Homecoming, Volleyball Challenge, Special Olympics)

○        Social Media Chair

○        School Store Day Managers

 

●       Community Events

Homecoming Parade - Friday, October 4, 2024                                                        

○        There is a volunteer who expressed interest in being able to help on the day of the parade. April will follow-up on this interest and with Dr. Borzillo regarding logistics. April can manage to prework to provide candy for Principal for the parade and to secure community members to serve as parade judges.  

○        Need a volunteer the day of to facilitate judges stand set up and tear down before and after the parade

Special Olympics - Friday, April 25, 2025                                                                               

Volleyball Challenge - Friday, April 11, 2025-there may be a volunteer interested in this role.

 

●       Staff Appreciation

Monthly Recognition, Nicole Vandesteeg

○        Donuts were provided for the staff Friday, August 23rd

○        Planning snacks for staff on PD Day, October 7th

○        Looking ahead to plan for upcoming special staff recognition days

VP School Support, Monika Sud

●       Lancer Direct Donation Campaign                                                                            

○        LPO Direct Donation renamed, previously Lancer Legacy

○        Direct Donation is active on the LPO website

○        Currently anyone that makes a $25 donation or more receives online directory access

○        Flyers were distributed at the Open House and will be distributed at the Fall Conferences. Continuing to share via LPO channels weekly.

○        As of 8/31/24, $2,600 had been donated.

 

●       Lancer’s Landing

Inventory, Chelsea Watson

○        New offerings due to food guidelines

○        Evaluating our inventory pick up and drop off procedures

○        Availability issues with some store items

○        Actively monitoring Lancers Landing sales and inventory; narrowing selections

○        Fun Food Friday days being selected - allowed 5 days a year

○        Introducing “Item of the Month” & Philly Pretzel Factory

 

Store Operations, open position, presented by Giovanna Lear                                                                    

○        Evaluating policies and procedures to streamline processes

○        Eliminating punch cards has been a great decision. Gift cards will be available for sale in late Sept/early Oct.

○        We will continue to monitor the credit card processing fees

 

Volunteers, Amy Danner

○        Need: Morning managers - Monday, Tuesday and Wednesday

○        Need: Lunch Manager - Tuesday

○        Need: Inventory pick-up at Sam’s Club

○        Daily volunteer needs are being met

 

●       School Grants - Spring 2025, Dawn Hagen-no report

 

●       Spirit Wear, Jenny Shaw & Angela Sublette

○        Sales were available at Freshman Parent Night and Open House, plus in store and online.                       

○        Working on another spirit wear order

○        Will be offering a staff discount on spirit wear.  Details TBA. 

○        In-person spirit wear sales are processed through Square for all purchases (cash, card) for inventory control

 

Class of 2025 Directors, Tara Ference/Dawn Werk

○        In need of committee chairs for all Memory Makers events

○        First meeting scheduled for 9/24.

○        Ticket sales for November Memory Makers will be available after 9/24.

○        Senior Class t-shirt sales are complete. Panoramic photo scheduled for 9/25.

●       First meeting - September 19th at Milk and Honey. Will set up monthly meetings to plan for Trivia Night.

●       Discussed that all classes are eligible for $75 retail value donation from Lancers Landing.

●       Freshman tailgate-September 13th at 5:15pm. White Out Theme. In need of volunteers and donations.

Pizza, snacks and drinks will be provided. Will have lawn games.

●       First meeting- September 17th at 6:30pm, Room 180.
