General Meeting Minutes

Attendees: Suzanna Ney, Deanna Vardeman, Monika Sud, Jen Adams, Karen Calcaterra, Rhonda Shrum, Jess Brown, Aleta Harris, Jenny Champlin, Stacy Nagel, Chelsea Watson, April Ladner, Sara Robeson, Jennifer Zeck, Elizabeth Nolan, Jeanne Flowers, and Giovanna Lear.
Welcome/Call to Order, Giovanna Lear
The meeting was called to order at 6:34 pm.
Secretary, Suzanna Ney
- April Ladner motioned to approve 5/05/25 meeting minutes. Jenny Champlin seconded the motion. The motion carried.
Principal, Karen Calcaterra
- Introductions from the Associate Principals by class and Activities Director
- Completion of the parking lot is on track. Safety upgrades include dedicated bus lane, cross walks, main entrance swing gate, and all new parking lot lights. Service (back) drive will be completed shortly after school starts.
- Implementation of new Cell Phone Policy during school hours. Students can use school email as a form of communication during the school hours. Staff is working through required adjustments. - Lafayette’s first day of school (8/18/25) will air on KMOV (Channel 4) beginning at 5:12 am. - School District Safety Audit conducted by Strategos employed by retired FBI Agents. - New CSO, Megan Hall, who is also a Wildwood Officer.
President, Giovanna Lear
- Ideas for 2025 - 2026 Goals were discussed - main theme, “think outside of the box.” Are there new ways to do things?
- The Standing Rules will be finalized and presented during the September meeting. - The President’s Forum Leadership Conference is September 10, 2025 at 5:30 pm. - Volunteer Sign Ups are posted for the year. Board and Committee Chair members have a designated
sign-up area. LPO representation is important, please volunteer for one - two shifts per semester. - Review of District guidelines for volunteers
- Class Directors and Committee Chairs should provide a list of LPO items needed for the year. - Class of 2024 and 2025 will gift two podiums to the school.
Treasurer, Deanna Vardeman
- Reviewed the 2025 - 2026 Audit schedule and procedures.
- Reviewed the June 2025 Financial Report.
- The July 2025 Financial Report will be presented along with the August Financial Report during the September meeting.
- All documents for the June 30, 2025 fiscal year-end have been shared with the Accountant, including tax information.
- The 2025 - 2026 Proposed Budget was reviewed and the timeline for public presentation and vote was discussed.
VP Communications, Aleta Harris
- New Co-Chair for Communications will be Casey Carrington.
- Newsletter:
- Communication guidelines were discussed.
- Social Media:
- Welcome to Jess Brown who will be taking on the role of Social Media for 25/26 - Taste of West County (TOWC) Social Media pages have been converted to “Lancer Community Events”. Will use this page to promote all class fundraising events, not just TOWC. - New Facebook Groups created by Class.Great communication forum for parents to connect, share ideas, ask questions.
- Class pages will continue to be used to promote events and get volunteers, meeting reminders, etc.
- Website Manager-MTK/LHS, Jennifer Zeck - The changes look great and there is one page for everyone. Includes meeting dates and contact information.
VP School Community, April Ladner
- Volunteer Coordinator
- 25-26 Board Members Needed: Co-Treasurer
- 25-26 Community Chairs Needed: Class of 2029 Co-Directors, Class of 2029 Treasurer, Spiritwear, School Store Operations Manager, Shift Managers.
- Homecoming Parade is Friday, September 26, 2025.
- Special Olympics is tentatively scheduled for Friday, April 26, 2026.
- Welcome Jeanne Flowers for Staff Appreciate/Dinners.
- Parent Teacher Conferences working with Dr. Calcaterra to finalize the Fall date.
VP School Support, Monika Sud
- Lancer Direct Donation Campaign - Continuing to advertise.
- Lancer’s Landing - Inventory, Chelsea Watson
- Ensuring adherence to the new food guidelines and purchasing “smart snacks.” - Discussions on the effect of the new Cell Phone Policy / Consider communication on gift cards. - Lancer’s Landing Operations:
- Morning Shift Managers are needed for all morning shifts.
- Lunch Shift Leads are filled.
- Discussions held around shift lead volunteer training.
- LPO is advertising donations for teacher/classroom needs on Social Media. - Spirit Wear
- New items available and can be purchased through the MTK.
Class Updates
Class of 2026 Director’s Report, Elizabeth Nolan/Rhonda Shrum
- Memory Maker Events - Tentative Dates planned.
- Looking for Event Chair / Co-Chairs
- Senior Sunrise is not a school or LPO sponsored event, as this is planned by the students.
Class of 2027 Director’s Report, Jen Adams/Jenny Archambeault
- TOWC event has moved to April 2026
Class of 2028 Director’s Report, Jenny Champlin/Stacy Nagel/Sara Robeson - Already planning Trivia Night.
Class of 2029 Director’s Report, Open
- No Freshman tailgate this year.
